Delete Profiles
You can delete Profiles in three ways: import a file with the Profiles you want to delete, find them via a Segment and export-then-import, or delete straight from the Segment builder. You can also delete the profiles one by one from the UI, read more here: Edit Profiles | Apsis Knowledge base
All three result in permanent deletion — the Profile and all its data are removed across every Section in the account.
⚠️ Deletion is permanent. All data associated with the Profile (Attributes, Tags and Events) is removed across all Sections in the account. The Profiles will not receive any further communication.
ℹ️ Timing: It takes up to 20 minutes for deleted Profiles to disappear from Audience. The data is fully removed from our servers within 24 hours.

Delete Profiles from a File
Prepare a file with the Profiles you want to delete (CSV and XLSX files up to 50 MB).
The file must contain a Unique Identifier that can recognise the Profile — email, phone or CRM ID.
Start the import
Import Profiles – Add or Update
Go to Audience Profile tab and click Add a new Profile to find all options.
Select to import From File.
Choose Delete.
OR
Go to Audience - Imports tab and click Import profiles to find all import options
Choose Delete.
Unique ID
The Unique Identifier is what recognises the Profile (Email, phone number or CRM ID). Select the Unique Identifier from the drop-down and click Next.
⚠️ Note – pick the right Unique Identifier: Two Profiles can share the same email address but have different Unique Identifiers. Only the Profile matching the Unique Identifier you choose will be deleted.
Example:
Profile 1 uses Email as Unique Identifier.
Profile 2 uses CRM ID as Unique Identifier (imported from CRM).
If you delete using Email as the Unique Identifier, only Profile 1 is deleted. Profile 2 — with the same email but a different Unique Identifier — is not matched and remains.
Mapping
Map the Unique Identifier column from the file.
Overview
Review your selections. If you need to modify anything, go back to any step using the left-hand navigation.
When you're ready, click Delete — or click Cancel to quit.
Delete Profiles based on a Segment
To find Profiles you want to delete based on behaviour, build a Segment, export the matching Profiles, and use the file in the Delete import.
Go to Audience and the Segment Builder tab.
Create a Segment matching the Profiles you want to delete. For example, inactive Profiles that have not clicked in an Email in the last 36 months.
Click Show Profiles in the bottom bar.

Click Export Profiles in the bottom bar.
Tick the Add Attributes checkbox and select Email, phone number or CRM ID — depending on which Unique Identifier you plan to use in the Delete import.
Use the exported file in the Delete File Import Wizard (steps above).
Delete Profiles directly from the Segment Builder
There is an option to delete Profiles based on a Segment directly from the Segment Builder, without exporting first.
ℹ️ Note: If you do not see this option, it is either because you are not an Admin or Account Owner, or because the functionality is not yet activated for your account. Please contact us to request it.
In the Segment Builder, select your Segment and click Show Profiles in the bottom bar.
Click Delete Profiles in the bottom right corner to delete the Profiles matching this Segment.
⚠️ Cross-Section data: Deleting a Profile removes all its data permanently and cannot be undone. Profiles may have data in different Sections. If you are not sure whether you have more than one Section, talk to your Admin or Account Owner before deleting.
Delete Report
When the delete is complete, a notification message is displayed. The Delete Report is found in the Import History tab at the top.
Deleted data is fully removed from our servers within 24 hours.
Use Cases
GDPR right-to-erasure for a single Profile
For one Profile, use GDPR → Delete on the 360 Profile view. For many at once, build a file or Segment and use the methods above.
Removing long-inactive Profiles
Build a Segment for Profiles with no engagement in 36 months, export with their Unique Identifier, and run a Delete import — or use Delete Profiles from the Segment Builder if you have access.
Cleaning up after a one-off campaign
You imported a list for a single send and the campaign is done. Use the same file with Delete to remove those Profiles entirely.
Removing test Profiles
Compile a list of internal test addresses, tag them, build a Segment on that Tag, and delete them in bulk before going live.
Troubleshooting
❓ I deleted Profiles by mistake — how do I get them back?
You cannot. Deletion is permanent across all Sections. If the Profiles sign up again, fresh Profiles will be created from scratch with no history.
❓ I deleted Profiles but they're still showing in Audience.
Deletion can take up to 20 minutes to be reflected in Audience. The data is fully removed from our servers within 24 hours.
❓ Some Profiles in my file weren't deleted.
Check that the Unique Identifier you chose in the wizard matches how each Profile was actually identified in Apsis One. A Profile created via CRM sync uses CRM ID as its identifier — deleting with Email as the identifier will not match it.
❓ I want to stop sending to a Profile, not delete them.
Use File Import: Unsubscribe Profiles instead. The Profile and its history stay in Audience; only the Subscription consent is removed.
❓ I don't see the Delete Profiles option in the Segment Builder.
This is gated to Admin and Account Owner roles, and the feature must be activated for your account. Contact us to enable it.
The option is not visible if your segment has 0 matching profiles.
