Where to start
Are you ready to make an import?
Head over to the File Import: Add & Update Profiles guide.
File Import Checklist
Make sure your file is ready before you start. The File Import Checklist walks you through file format, supported encodings, date and timestamp formats, phone numbers, removing duplicates and more.
File Import Report
Once you've made a successful import, head over to the File Import Report in the Import History tab to learn more about the outcome.
Scheduled Import
If you import the same kind of file regularly, set up a Scheduled Import. Your system uploads the file to the Apsis Cloud SFTP server, and Apsis One picks it up on a schedule β no manual uploads.
π‘ Tip: A scheduled import can be a lightweight alternative to setting up a full integration. It needs a bit of familiarity with SFTP or an automated upload script on your side.
Stable Connection
β οΈ Note: Make sure you are on a stable and reliable internet connection when you start the file import. Uploads have a 29-second timeout β if your connection drops or stalls, the upload may fail and you will need to start again.
Use Cases
Importing a list from a trade show
You collected business cards or sign-ups at a conference. Build a CSV with email, name and company, choose Add & Update, place them in your newsletter Subscription, and tag them with the event name for follow-up.
Cleaning up after a CRM data sync
Your CRM exports a list of contacts who have opted out elsewhere. Import the file with Unsubscribe to remove them from the relevant Subscriptions without deleting their history in Apsis One.
Removing long-inactive Profiles
Build a list of Profiles that have not engaged in 36 months. Import the file with Delete to remove them and their data from the entire account.
Recurring nightly sync from your back-office system
Your back-office system writes a fresh CSV every night. Set up a Scheduled Import so Apsis One picks it up and your Audience is current every morning.
Troubleshooting
β My upload timed out.
UI uploads have a 29-second timeout. Check your connection, reduce the file size if possible, and try again. For very large or recurring jobs, use Scheduled Import over SFTP instead.
β I'm not sure which action to use β Update or Add & Update?
There is one action for both: Add & Update. The wizard's Update Profile data checkbox controls whether existing Profiles are overwritten with the file's values. See File Import: Add & Update Profiles.
β What's the difference between Unsubscribe and Delete?
βUnsubscribe removes a Profile's consent from one or more Subscriptions, but the Profile and its data stay in Audience. Delete permanently removes the Profile and all its data from the entire account.
β I uploaded the file β when can I send to those Profiles?
Always confirm the import has completed in the File Import Report before using the Profiles in a campaign. Sending while an import is still running can result in incomplete audiences. You will be notified in the UI under notifications when file upload is completed.
