Why you see IDs — and how to avoid needing them
Every link you place in an email is given a unique link ID, and every send has a campaign ID. That is what makes the tracking work, but it is not friendly to read in a filter. The good news: in almost every case you never have to touch those IDs. There are two clean ways in.
Option A — Build the Segment straight from the report (recommended)
This is the fastest route and skips IDs entirely, because Apsis One fills in the campaign for you.
Open the email report (Email › Scheduled & Sent, then open the campaign).
On the left, choose the interaction you care about — Opened, Clicked, Bounced or Unsubscribed.
Click Create Segment for that metric. The Segment Builder opens with the campaign condition already filled in — no ID typing needed. Refine it (add a time period, combine with another condition) and save.
Option B — Match on the link’s real URL, not its ID
When you build a click condition by hand, you don’t match the link ID — you match the actual URL the link points to. So instead of a cryptic ID, you simply type the human-readable web address, for example url contains apsis.com/webinar. Apsis One finds every click on any link leading to that address.
💡 Good to know
If you have two links pointing at the same page, matching on the URL captures clicks on both — usually exactly what you want for a “did they head to the registration page?” audience.
Contacts who opened a specific email
Go to Audience › Segments › Create segment and name it (for example, Newsletter September — opened).
Open the Events tab on the left, then Response Data › Email.
Drag Open onto the canvas.
Click the cogwheel to open the condition. In the What tab, select the campaign you sent.
Click OK, then Calculate on the bottom bar to see the count.
✅ Tip
Building from the report (Option A above) fills step 4 in automatically, so you don’t have to pick the campaign from a list of IDs.
Contacts who clicked a specific link
In a new or existing Segment, open Events › Response Data › Email and drag Click onto the canvas.
Click the cogwheel. In the What tab, set URL → Contains and paste the real link address, e.g. the registration page URL.
Click OK, then Calculate.
⚠️ Watch the casing
Text values in conditions are case sensitive. Copy the URL exactly as it appears in the email so the match doesn’t come back empty.
Narrowing to a selected time period
Every Open and Click condition has a When tab next to What. Use it to limit the audience to activity inside a window.
On the condition’s cogwheel, open the When tab.
Choose In the last … (for example, last 30 days) or Between two dates for a fixed campaign window.
Click OK, then Calculate.
There is also a How Often tab if you ever want “clicked at least X times”, but for a follow-up list you can usually leave it as-is.
Combining open and click
Put both conditions on the same row and set the connector between them to AND.
Add the Open condition and the Click condition to the canvas.
Click the connector that appears between them and set it to AND — this captures people who did both. (Set it to OR for people who did either.)
Add the same time window to both if you want the combination inside one period.
Click Calculate to see the result.
Connector | Captures people who… | Use it for |
AND | opened and clicked | Engaged audience — strongest follow-up list |
OR | opened or clicked | Broader reach — anyone who showed any activity |
Exporting the audience
With your conditions in place, click Show Profiles on the bottom bar.
Click Export all Profiles.
Choose the file type — XLSX to open in Excel, or CSV to load into another system.
Tick Add Attributes (e.g. Email, First Name, CRM-ID) and Add Tags if you want those columns.
Click Export. The download starts automatically.
💡 Shortcut from the report
You can also export directly from the report: open it, pick the Opened or Clicked tab, and click Export at the top right — no Segment needed for a one-off pull. Save it as a Segment instead when you’ll reuse the audience.
⚠️ Two things to expect
The Segment count includes everyone regardless of consent — the true sendable number shows in the email tool’s Send to step. And bulk exports include Attributes and Tags but not the full event timeline. The maximum UI export is 50 MB.
Getting the cleanest audience
Corporate security tools (Microsoft Defender / ATP, Barracuda, Proofpoint and similar) automatically fetch every link in an email to check it is safe. Apsis One filters out the scanners it recognises, but newer or less common ones still slip through — and they tend to click every link, which inflates a broad “clicked any link” audience.
To keep a follow-up list trustworthy:
Build on a meaningful action, not “clicked any link”. A Segment on the specific registration URL is far cleaner than one on all clicks.
Cross-check against the real outcome. Actual registrations in the Event tool (or Form submissions) are the ground truth — a scanner can trip a click, but it can’t complete a sign-up.
Treat tell-tale patterns as noise: near-identical click counts on footer or social links, and people who “clicked” both a registration link and the unsubscribe link, are almost always scanners rather than real readers.
✅ Rule of thumb
Judge campaign performance on unique opens and clicks and on downstream actions (registrations, replies), not on raw total clicks.
