Meta Lead Ads integration

Send leads from your Meta lead forms straight into Apsis One — automatically, in real time

The Meta Lead Ads connector links your Meta (Facebook and Instagram) lead ad forms to Apsis One. When someone fills in one of your lead forms on Meta, their details flow into Apsis One as a Profile — no manual exports, no spreadsheets, no delay. From there you can segment them, trigger a Marketing Automation flow, and start nurturing straight away.

💡 Why it matters
Speed-to-lead is everything. A lead who hears from you within minutes is far more likely to convert than one who waits days for a manual CSV import. This connector closes that gap: a lead submitted on Meta can enter a welcome flow in Apsis One seconds later.

What the connector does

Once connected, the Meta Lead Ads connector handles two things for you:

  • Real-time lead delivery. Every new lead submitted through your connected Meta forms is pushed into Apsis One automatically, moments after it's submitted.

  • Historical import. When you first connect, you can pull in the leads you've already collected on Meta so nothing is left behind. Apsis One shows you the progress as it works through them (for example, "Synced 1,200 / 15,400 leads").

Each lead becomes a Profile in Apsis One, mapped to the Attributes you choose. From that point on it behaves like any other Profile — ready for Segments, Marketing Automation, personalisation, and reporting.


Before you start

You'll need the following in place:

  • An Admin role in Apsis One (integrations are set up at account level).

  • Access to the Meta ad account that owns the lead forms you want to connect, with permission to grant access to third-party tools.

  • At least one active Meta lead form. You can connect an account that has no leads yet — new submissions will flow in as they arrive.

  • A clear idea of which Section you want these leads to land in. As with all integrations, the data lands on Profiles in the Section you set up the connection in.

💡 Tip — choose your Section deliberately
If you run separate brands, markets, or business units in different Sections, connect Meta inside the Section where you actually want these leads to live and be marketed to. Moving Profiles between Sections afterwards is not something you want to be doing by hand.


Connecting your Meta account

Connecting takes a couple of minutes and happens entirely through a secure Meta login — Apsis One never sees or stores your Meta password.

  1. Go to the Integrations tab in the left-hand icon menu.

  2. Make sure the correct Section is selected in the top-right corner.

  3. Find the Meta Lead Ads connector and click Connect Meta.

  4. A Meta login window opens. Sign in and grant Apsis One permission to read your lead forms and their submissions.

  5. Once you approve, the window closes and Apsis One confirms the connection.

🔒 Your Meta credentials stay with Meta
The connection uses Meta's own secure authorisation. Apsis One is granted access to your lead data through Meta, but never handles your login details directly. You can revoke that access at any time from your Meta account settings.


Mapping your form fields

After connecting, Apsis One shows you the fields available on your Meta lead forms so you can decide where each one lands. This is the field mapping step, and it's the part worth spending a minute on.

Your Meta forms contain two kinds of fields:

  • Standard fields — the common ones Meta collects, such as email, phone number, first name and last name.

  • Custom questions — anything specific you've added to a particular form, such as "What is your budget?" or "Company size". These vary from form to form.

Apsis One brings both together in a single mapping screen. For each Meta field, choose the Apsis One Attribute it should be written to. For example, map the Meta Email Address field to your email Attribute, and a "Company size" custom question to a matching Attribute of your own.

⚠️ Match the Attribute type to the data
Custom questions from Meta come through as text. If you map one to an Apsis One Attribute of a different type (for example, a Number Attribute), the value may fail to write. When in doubt, map custom questions to text Attributes, or create a dedicated Attribute for each question.

💡 Tip — capture the campaign context
Alongside the contact details, each lead can carry the ad and campaign it came from. Mapping these lets you segment and report on which Meta campaigns are actually producing leads — and tailor your follow-up accordingly.


Bringing in existing leads

If you've been running Meta lead ads for a while, you'll already have a back-catalogue of leads. When you first connect, Apsis One can import these historical leads so your existing audience isn't left behind.

Apsis One works through them in the background and shows a running progress indicator. Large accounts with tens of thousands of leads simply take a little longer — you don't need to keep the screen open while it runs.

💡 Good to know
Historical import is a one-time catch-up. After it finishes, real-time delivery keeps everything up to date going forward, so you only ever import the back-catalogue once.


What data is synced

For this connector, data flows in one direction only — from Meta into Apsis One. Apsis One does not push anything back to Meta.

The following details come through for each lead:

The lead's email.

Phone number

The lead's phone number, where provided.

First and last name

The lead's name, where provided.

Ad and campaign

Which Meta ad and campaign triggered the submission — useful for attribution.

Custom questions

Any extra questions on the form, such as budget or company size. These vary per form.

⚠️ Consent still applies
A lead submitting a Meta form is not the same as consenting to your marketing under GDPR/ePrivacy. Make sure your Meta form and your follow-up respect the consent basis you rely on, and set up consent in Apsis One accordingly before you start sending. If in doubt, treat these leads the same way you'd treat any other newly acquired contact.


Good to know

  • One direction. Leads flow from Meta into Apsis One. Changes you make to a Profile in Apsis One are not sent back to Meta.

  • Real-time, with a safety net. New leads are delivered as they're submitted. If a delivery doesn't get through the first time, it is retried automatically, so leads aren't silently lost.

  • Custom questions are per form. Because each Meta form can ask different questions, you may see different custom fields when you connect forms with different questions.

  • Disconnecting stops delivery. If you disconnect the integration, new leads stop flowing in. Profiles already in Apsis One stay where they are.

💡 This connector is currently in early release
The Meta Lead Ads connector is being rolled out gradually. If you don't see it in your Integrations tab yet, or you'd like to take part in the early release, contact your Account Manager.


Troubleshooting

New leads aren't appearing in Apsis One

The connection may have lost access to Meta, or the form isn't one of the connected forms.

Check the connection status in the Integrations tab. If Meta access was revoked or expired, reconnect. Confirm the form the lead used belongs to the connected account.

A custom question isn't coming through

The field wasn't mapped, or was added to the Meta form after you set up mapping.

Return to the field mapping screen and map the new question to an Attribute.

A mapped value isn't saving on the Profile

The Attribute type doesn't match the incoming value (for example, text going into a Number Attribute).

Map the field to a text Attribute, or create a dedicated Attribute of the right type.

Historical import seems stuck

Large accounts take longer to work through.

Give it time — the progress indicator updates as leads come in. If it hasn't moved after a long period, contact Support.

Leads arrive but aren't entering my flow

The Marketing Automation flow entry conditions don't match the incoming Profiles.

Check your flow's entry Segment or trigger against the Attributes the leads are actually landing on.
