Here follows frequently asked questions about setting up Events.

Invitation and Registration

Can I invite more people after Invitation is sent out?

Yes.
To send the Invitation again, either reuse your Invitation by clicking the

circulating green arrows on the Invitation sending. Schedule to a new Subscription.

Or create a new Invitation and schedule.

Can I invite more people with a link or webpage?

Yes.
You can distribute the Registration form, without sending the Invitation again. Either with a link, or with iframe on a content page.

On the Overview page, you find the Registraion form url and iframe code in the dropdowns.

The Attendees registering for the Event through the form will receive the coming scheduled Sending from the Event tool.

Register to more than one Event Session?

Yes.

Invitees can register to more than one Session. However, they can only register to one Session at the time. They first need to submit the form, registering to Session 1.

After that, filling out the form again, this time selecting Session 2, and submit.

Increase the maximum number of allowed Attendees?

To increase allowed number of Attendees, go to the Session and click the Edit icon. Adjust the number of maximum number of allowed Attendees.

If there are invitees on the Waiting list, you will be asked if you want to grant them a seat and move them to the Attendee list.


Sendings

Moving to Waiting list or Attendee list, will they receive a Confirmation?

Yes.

Automatically moved
When someone for example cancel their registration, a seat is available on the Attendee list. The first person on the Waiting list will then move to the Attendee list and an Email is automatically sent out to confirming they have a seat at the Event.

Manually moved

When moving an Attendee manually from the Waiting list to the Attendee list - or the other way around - you can chose to send an email informing about the updated status. Tick the checkbox "Send confirmation email for changed statuses".

For changed status to "Cancelled" or "Declined" no confirmation will be sent out.


​Note. If adding an Attendee to waiting list manually, make sure you have:

  • activated the "Allow waiting list" feature on the Session page.

  • created a Confirmation email for waiting list, on the Sending page.


Marketing Automation

Can I set up Marketing Automation flows based on Event tool activity?

Yes.
With Marketing automation tool, you can perform actions based on any Event tool activity. Thereby, reach a certain Attendees at a certain time.

Open the Listen node and select Listen for Events. Select Event tool.

Chose weather to listen for activities in Communication (Event sendings),

values submitted in the Registration form or activities in Status changes (Attendee Registered, Waiting list, Checked-in etc).

In this example, the Listen node will set off a Marketing Automation flow when an Attendee submits a Registration form with the Allergies field value equals to "Nuts".
