webCRM: Sync Contacts and Profile Data

Here you'll find useful information about the process of mapping and syncing Contacts with Profile data in APSIS One.

Synchronisation

There are two features that empower data transfer from webCRM into your APSIS One account:

Real-time Sync and Full Sync.

Real-time Sync: webCRM only sends the contents of the created or updated persons to APSIS One. To handle this message, APSIS One utilizes its integration middle layer to handle the operations related to consents and handling merging.

Full Sync: webCRM is not responsible for sending any of the data to APSIS One as a part of a Full Sync. Instead, APSIS One downloads all of the persons using webCRMs API.

Real-time messages received during a full sync are processed only after the full sync is completed in order to ensure eventual consistency between webCRM and your APSIS One account.


Sync Conditions

Use Sync Conditions to make sure that you only sync the Profile data that corresponds with your APSIS One Section. These conditions are useful to filter the data sent into APSIS One from webCRM, based on a specific value.

You may add multiple sync conditions to ensure that the right Profile data is always sent to the right Section.


How to Add Sync Conditions

1. Head over to the Integrations tab in your Section, locate webCRM, and click Edit.

2. Select the Sync Conditions tab.

3. Click Add New Rule.

4. Expand the drop-down menu under webCRM and choose a field.

5. Under Value, enter the value for this field. Profiles will only be created and updated as long as the customer data from your webCRM matches this value.

Repeat this process with as many conditions as you need.

6. When done, click Save.

Note: If you want Profiles that no longer match the sync conditions to be deleted in APSIS One we offer that option. Reach out to our Support Team to enable the feature.


How to set up Field Mappings

1. Head over to the Integrations tab in your Section, locate webCRM, and click Edit.

2. Select the Field Mapping tab.

3. webCRM's Email and ID Attributes will be auto mapped.

4. Click Add new mapping to map another Attribute. Repeat the process above for all the Attributes you wish to map with your webCRM account.

5. When done, click Save.


Consent Mapping

While the Real-time and Full Sync features are excellent at transporting your Profile data quickly, without mapping for consent it's hard to utilize the data in your email marketing campaigns.

The Consent tab allows users to map bool fields created in webCRM to any Subscription in your APSIS One Section.

Prerequisites

Before you begin your Consent Mapping there are a few things to consider:

  1. Do not use any system other than webCRM to manage the consent of your Profiles.

  2. Set up checkbox on the contact card in webCRM and populate them with true for opt-in and false for opt-out.

  3. Map the checkbox to their corresponding topic.

  4. Run a full sync.

Discuss with your Engagement Consultant how to set up your Subscriptions and corresponding webCRM checkbox.

If any of these rules are broken, then the Consent Mapping might not accurately sync your contact's consent with APSIS One Profiles.


How to Set up Consent Mapping

1. Head over to the Integrations tab in your Section, locate the webCRM, and click Edit.

2. Select the Consent Mappings tab.

3. Under webCRM, expand the Contact Card drop-down menu and select one of the bool fields you have set up for consent.

4. Under APSIS One, expand the Subscriptions drop-down menu and select the Subscription you'd like to map with your webCRM subscriptions.

5. Under Channel Consent, select Email or SMS from the drop-down menu to choose which Channel your Profiles should have consent for.

If you wish to add consent for both channels, repeat this step. Both channels cannot be selected in the same mapping.

6. Click Add new mapping to map another Subscription. Repeat the process above for all the Subscriptions you wish to map with your webCRM account.

6. Click Save.

How to Start a Full Sync

1. Head over to the Integrations tab in your Section, locate webCRM, and click Edit.

2. Select the Full sync tab.

3. Click Start sync.

Profiles will then begin to sync with your customer entries in webCRM!

This might take a while, depending on the amount of contact cards in your webCRM environment.

4. If you want to cancel the sync while it's in progress, click the Cancel Sync.
