Here you'll find useful information about the process of mapping and syncing Consent Profiles with Profile data in APSIS One.

Synchronization

First let's get the terms down.

Both Efficy CRM and APSIS One have the concept of a Profile and they mean different things.

  1. A Marketing Profile (APSIS One) represents one individual.

  2. A CRM Profile (Efficy Enterprise) represents a group of individuals.

In order to manage consent from the contact card in Efficy enterprise, a Profile in Efficy Enterprise must be set up for each Subscription in APSIS One that you want to work with. These will be referred to as CRM Profiles. For information on how to set these up, see this article in the Efficy Enterprise Knowledgebase specifically the chapter Consent Base.

There are two features that empower data transfer from Efficy Enterprise into your APSIS One account:

Real-time Sync and Full Sync.

Real-time Sync: Efficy Enterprise only sends the contents of the created or updated persons to APSIS One. To handle this message, APSIS One utilizes its integration middle layer to handle the operations related to consents and handling merging.

Full Sync: Efficy Enterprise is not responsible for sending any of the data to APSIS One as a part of a Full Sync. Instead, APSIS One downloads all of the persons using Efficy Enterprise's API.

Real-time messages received during a full sync are processed only after the full sync is completed in order to ensure eventual consistency between Efficy Enterprise and your APSIS One account.


Sync Conditions

Use Sync Conditions to make sure that you only sync Profile data that is useful for how you intend to use your APSIS One Section. These conditions are used to filter the data sent into APSIS One from Efficy Enterprise, based on the values you specified.

For example, if you only want to sync contacts that are both Active and are not marked as Robinson, add the following sync conditions:

You may add multiple sync conditions to ensure that the right Profile data is always sent to the right Section.


How to Add Sync Conditions

1. Head over to the Integrations tab in your Section, locate Efficy Enterprise, and click Edit.

2. Select the Sync Conditions tab.

3. Click Add New Rule.

4. Expand the drop-down menu under Efficy Enterprise and choose a field.

5. Under Value, enter the value for this field. Marketing Profiles will only be created and updated as long as the customer data from your Efficy Enterprise matches this value.

Repeat this process with as many conditions as you need. For example, if you only want to sync contacts that are both Active and are not marked as Robinson, add the following sync conditions:


6. When done, click Save.


How to set up Field Mappings

1. Head over to the Integrations tab in your Section, locate Efficy Enterprise , and click Edit.

2. Select the Field Mapping tab.

3. Efficy Enterprise's Email and ID Attributes will be auto mapped.

4. Click Add new mapping to map another Attribute. Repeat the process above for all the Attributes you wish to map with your Efficy Enterprise account.

5. When done, click Save.


Consent Mapping

While the Real-time and Full Sync features are excellent at transporting your Profile data quickly, without mapping for consent it's hard to utilise the data in your email marketing campaigns.

The Consent tab allows you to set up rules for mapping Consents in APSIS One to CRM Profiles in Efficy Enterprise. Map them to the appropriate Subscription.

Before you begin there are a few thing to consider:

  1. Do not use any system other than Efficy Enterprise to manage the consent of your Profiles.

  2. In order for the solution to work, do not add any other ways of managing consent than a CRM User changing the profile for the customer's contact card, or the contact themselves opting out from a Subscription by clicking the Opt-out link in the footer of an Email.

  3. Define your CRM Profiles.

  4. Add previously known consent to your Efficy Enterprise environments profiles.

Discuss with your Consultant how to set up your Subscriptions and corresponding Efficy Enterprise CRM Profiles.

If any of these rules are broken, then the Consent Mapping might not accurately sync your contact's consent with APSIS One Profiles.

How to Set up Consent Mapping

1. Head over to the Integrations tab in your Section, locate the Efficy Enterprise, and click Edit.

2. Select the Consent Mappings tab.

3. Under Efficy Enterprise, expand the Contact Card drop-down menu and select one of the CRM Profiles you have set up for consent.

4. Under APSIS One, expand the Subscription drop-down menu and select the Subscriptions you'd like to map.

5. Under Channel Consent, select Email or SMS from the drop-down menu to choose which Channel your Profiles should have consent for.

If you wish to add consent for both channels, repeat this step. Both channels cannot be selected in the same mapping.

6. Click Add new mapping to map another Subscription. Repeat the process above for all the Subscription you wish to map with your Efficy Enterprise account.

6. Click Save.

After completing these steps, it is essential to run a Full Sync. Find out how to do this by reading the next step below.


Tag Profiles

Profiles in APSIS One can be tagged based on two resources in Efficy Enterprise.

1. Queries that resolve in contacts

2. Marketing Profiles (see above how to set these up).

To tag your profiles based on any of these resources, head to the Integrations UI and navigate to the Queries


How to Start a Full Sync

1. Head over to the Integrations tab in your Section, locate Efficy Enterprise , and click Edit.

2. Select the Full sync tab.

3. Click Start sync.

Profiles will then begin to sync with your customer entries in Efficy Enterprise!

This might take a while, depending on the amount of contact cards in your Efficy Enterprise environment.

4. If you want to cancel the sync while it's in progress, click the Cancel Sync.

And that's it! You are know ready to start your data driven marketing activities in APSIS One.
